Microsoft Copilot - No more bad Teams meetings thanks to AI
Your entire working day is full of appointments and internal coordination. You jump from one meeting to the next and deal with multiple agendas. At the end of the day, you have held numerous lengthy discussions, but only made a few decisions and agreed a large number of debriefings and follow-ups. A day full of meetings and no time left for the other to-do's. And tomorrow it continues - or does it?
We'll show you how to do it differently: with Microsoft Copilot. The ground-breaking addition to Microsoft Teams is revolutionising the way we conduct meetings.

Structured meetings and improved collaboration
By using advanced AI technologies, Copilot aims to make meetings more structured, focussed and results-oriented. In this blog article, we show you which functions contribute to this.
If we ask Microsoft Copilot itself, the AI provides five clear benefits for use in Microsoft Teams: More efficient meetings, improved collaboration, easier communication, time savings and improved documentation.
But what exactly does that mean? Let's take a look now.
1. more efficient meetings
With Microsoft Copilot, organising meetings has never been easier. Copilot automatically creates meeting summaries for you, identifies action items and highlights important discussion topics. This not only makes it easier to follow up on meeting content, but also allows you to implement resolutions and decisions more quickly.
Microsoft Copilot also supports you in creating a structured agenda. To do this, past meetings and their minutes are analysed to identify topics that have been covered in similar meetings. In addition, Copilot can collect input from team members by analysing chat messages, comments in documents or emails, for example. This also includes analysing documents and files related to the meeting (e.g. presentation, reports). With the help of advanced AI algorithms, Copilot processes the information collected and creates a structured agenda. Important topics are prioritised and also adapted to your preferences. The agenda can be customised to meet the needs of your team - always with a focus on promoting efficiency and productivity.
2. improved collaboration
Copilot's integration with Teams allows you to collaborate seamlessly with the rest of the team. You can work together on documents, share ideas and give feedback. Copilot supports you in the creation of presentations or documents and makes suggestions for improvements. This not only makes teamwork more efficient, but also significantly improves the quality of your documents.
3. facilitated communication
Copilot improves communication in your team by automatically creating summaries of messages or discussions and making suggestions for responses or follow-up actions. This reduces misunderstandings and increases communication efficiency.
4. time saving
Thanks to Copilot's automated support, your team can save valuable time. Copilot simplifies recurring tasks and processes. For example, the AI assistant can
- take over the creation of meeting minutes,
- help with the creation of meeting agendas,
- suggest answers or actions during a discussion,
- automatically create meeting notes and highlight important information and
- write emails or access information from documents through seamless integration with other Microsoft tools.
You and your team can concentrate on creative and strategic tasks and benefit from simplified processes.
5. improved documentation
Copilot contributes to improved documentation by automatically creating notes and highlighting important points during a meeting. This allows you to track discussions more easily and make decisions faster.
What does the use of Microsoft Copilot look like in practice?
We will show you the impact Microsoft Copilot has on the way you work in practice using two examples. Before each example, you will also see the prompt (=request) that you send to Copilot so that the AI can support you in your project. This request should be as detailed and clearly formulated as possible.
Organisation and implementation of a meeting
"Please create an agenda for the next marketing team meeting on the topic of "Campaign planning" for Q3. Concentrate on the documents and messages in the "Team meeting" chat from the last 4 weeks and the emails on the topic of "Team meeting Q3". Please use a structured outline so that I can quickly grasp the most important points."
Before the meeting starts, Microsoft Copilot helps you to create a structured agenda based on previous meetings and relevant topics. This includes documents that have been shared in advance within the team via chats and emails. As Copilot has already accompanied you to a few meetings, the AI automatically recognises your preferences for different topics and adapts the agenda so that you focus on the most important points but don't forget any content.
During the meeting, a summary is automatically created so that you can concentrate fully on the discussion points. The summary contains the topics discussed, including the allocation of tasks, so that each team member knows what the next steps are and who is responsible for them. This also highlights important points for follow-up and makes it easier to make decisions.
If team members ask questions or raise certain topics, Copilot can automatically suggest answers and keep the conversation flowing. One of the benefits of this is that misunderstandings are reduced as team members see both the summary and the suggested answers. This promotes clearer and more precise communication within the team.
Microsoft Copilot thus enables efficient meetings that favour collaboration, save time, improve the quality of meetings and increase the productivity of your team.

Late attendance at a meeting
You join the Teams meeting and open Copilot via a button directly in the meeting. You now have two options for accessing the information you need.
- You select the predefined prompts that are displayed in the chat one after the other, or
- You make the following request in the chat:
"Please summarise the meeting so far, list the main topics that have been discussed so far and give me a list of actions that have been assigned to me."
In this case, Microsoft Copilot automatically creates a summary of the meeting, including key discussion topics, decisions and task assignments. This allows you to be quickly informed about the most important content that was discussed in your absence and actively participate in the further course of the meeting without your colleagues having to spend time informing you about it. You also know exactly what the next steps are.
Copilot's automatically generated summaries and highlighted topics facilitate communication between the individual team members and enable efficient participation in the meeting, even if someone arrives late or is even unable to attend a meeting.
